Volunteer Positions Available: Volunteer Coordinator

Silhouette Stages, Howard County's premier community theater organization, is looking for a Volunteer Coordinator to join our team at Silhouette Stages.  The Volunteer Coordinator  will manage volunteer recruitment, volunteer scheduling, front-of-house coordination, as well as volunteer engagement, retention, communication, and recognition.

Position Overview
The Volunteer Services Coordinator is responsible for helping recruit, organize, support, and celebrate the volunteers who make our productions possible.
This board member serves as the primary liaison between the theatre’s leadership and the volunteers who assist with front-of-house operations, audience services, and other production support roles.


The ideal candidate will be passionate about community theatre and motivated to help create a positive and rewarding volunteer experience.
This position is especially well suited for someone who:
• Loves theatre but may not want to perform on stage
• Enjoys organizing people and creating welcoming environments
• Values community engagement and volunteerism
• Wants to help strengthen the infrastructure that allows theatre to thrive

Key Responsibilities


Volunteer Recruitment
One of the primary responsibilities of the Volunteer Services Coordinator is helping recruit volunteers throughout the theatre season.
This may include:
• Promoting volunteer opportunities within the local community
• Sharing volunteer calls through social media, local arts groups, and community networks
• Reaching out to past volunteers and encouraging them to stay engaged
• Partnering with local schools, arts organizations, and community groups
The Volunteer Services Coordinator helps ensure that every show has enough volunteers to support front-of-house operations and other essential functions.
Recruitment efforts may take place throughout the year, but typically increase in the weeks leading up to a production.


Volunteer Scheduling
The Volunteer Services Coordinator will:
• Maintain a schedule of volunteer shifts
• Communicate available volunteer opportunities
• Confirm volunteer participation for each performance
• Ensure coverage across all performances
Our theatre typically produces several shows per year, and each show runs for multiple performances over several weekends. Volunteers are essential to ensuring the audience experience runs smoothly.


Front-of-House Coordination
During show weekends, the Volunteer Services Coordinator may assist with or oversee volunteer activities to ensure operations run smoothly.
This may include:
• Greeting volunteers when they arrive
• Providing brief orientation or instructions
• Ensuring volunteers understand their responsibilities
• Helping troubleshoot issues during performances
This role is collaborative and works closely with other members of the production and front-of-house teams.
While the Volunteer Services Coordinator does not need to attend every performance, the role does require participation during show weekends throughout the season.


Volunteer Engagement and Retention
One of the most important aspects of this position is helping volunteers feel valued and appreciated.
The Volunteer Services Coordinator helps foster a positive culture by:
• Welcoming new volunteers
• Providing clear instructions and support
• Checking in with volunteers during performances
• Recognizing and celebrating volunteer contributions


Volunteer Communication
Clear communication is essential for volunteer coordination.
The Volunteer Services Coordinator will typically communicate with volunteers through email, volunteer scheduling platforms or spreadsheets, group messages,  and production announcements
Responsibilities include confirming volunteer shifts, sharing arrival instructions, communicating show logistics, answering volunteer questions
Strong communication helps ensure volunteers feel confident and prepared when they arrive to help.
